Placement Policy

This placement policy outlines how PreceptMe manages placement requests, school-specific preceptor matching, approval tracking, payment milestones, and placement readiness confirmation.
1. PreceptMe's service scope
PreceptMe provides preceptor matching, placement coordination, and support for preparing school-ready preceptor and clinical site documentation. Services may include:
- Placement request intake.
- School-specific preceptor matching.
- Collection of preceptor credentials and clinical site information.
- Affiliation agreement workflow support, when applicable.
- School approval tracking.
- Payment tracking.
- Readiness confirmation prior to the start of the clinical rotation.
PreceptMe serves as a placement coordination and administrative support provider. PreceptMe is not a nursing school, clinical site, healthcare provider, credentialing agency, accreditation authority, state board of nursing, or regulatory authority.
2. School-specific preceptor matching
PreceptMe uses a confidential, guided matching process rather than a public directory or open browsing system. Placement requests are evaluated using relevant placement criteria, which may include:
- Academic program track, course objectives, and required clinical hours.
- Requested specialty, preferred rotation dates, and requested geographic region.
- School-specific requirements.
- Preceptor qualifications and availability.
- Clinical site setting and patient population.
- State-specific review requirements, when applicable.
To protect the privacy of participating preceptors and clinical sites, identifying preceptor and site information is shared only after the appropriate stage of the placement process has been reached.
3. Payment schedule
PreceptMe uses a three-stage payment schedule to support the placement process:
Payment 1, Activation Deposit: A $250 activation deposit is required for applications submitted within sixty (60) days of the requested clinical rotation start date. An additional $400 expedited processing fee applies to applications submitted within thirty (30) days of the requested clinical rotation start date. These amounts become due only after PreceptMe receives the placement request and confirms, in principle, that a preceptor is available who reasonably meets the student's submitted school, specialty, geographic, and credential requirements.
The $250 activation deposit is credited toward the total placement fee and is not an additional charge beyond the quoted placement cost. Once PreceptMe confirms availability in principle and placement activities begin, the activation deposit is generally non-refundable, except as required by PreceptMe's published Refund / Rematch Policy or applicable law. The $400 expedited processing fee is a one-time fee for accelerated review and placement coordination and becomes non-refundable once expedited processing begins.
Payment 2, Placement Confirmation: Fifty percent (50%) of the remaining placement balance, after application of the activation deposit credit, is due once the preceptor has formally accepted the placement request.
Payment 3, Final Payment: The remaining fifty percent (50%) of the placement balance is due after PreceptMe has reviewed the student's school approval documentation and the student has completed at least fifty percent (50%) of the required clinical hours.
Completion of the payment schedule does not guarantee school approval, clinical site approval, state board approval, approval of a requested start date, regulatory outcomes, or completion of the student's clinical program.
4. School approval requirement
School approval is required for every student and each clinical rotation. PreceptMe assists with the preparation and coordination of preceptor and clinical site documentation to support the school's review process. However, the student's school retains sole authority to approve or deny the proposed preceptor, clinical site, and clinical placement. PreceptMe does not guarantee school approval, clinical site approval, state board approval, rotation start dates, regulatory or licensure outcomes, or successful completion of required clinical hours.
5. Student responsibilities
Students are responsible for:
- Providing accurate and complete placement information.
- Submitting all written school requirements before the matching process begins.
- Maintaining eligibility for clinical placement throughout the process.
- Maintaining a current RN license, when required by their academic program or clinical site.
- Submitting all required health, immunization, background check, and other compliance documentation directly to their school and/or clinical site, as applicable.
- Uploading school requirements and school approval evidence through the PreceptMe portal, as requested.
- Completing all required clinical site onboarding activities, when applicable.
- Completing all required payment milestones in accordance with the Placement Policy.
- Waiting for PreceptMe's readiness confirmation before beginning any clinical hours.
6. Health-compliance records
Under PreceptMe's standard placement workflow, students are responsible for submitting all required health and compliance documentation directly to their school and/or clinical site. At launch, PreceptMe does not collect, store, verify, or serve as a repository for students' original health and compliance records.
7. Readiness confirmation
Students may not begin any clinical hours until all required placement readiness requirements have been satisfied, including school and clinical site approval (as applicable), completion of required site onboarding, receipt of payment 2, and PreceptMe's readiness confirmation. Placement readiness may include:
- School Approval Evidence reviewed.
- Completion of required clinical site onboarding, when applicable.
- Completion of any required agreements or written confirmations, when applicable.
- Receipt of payment 2.
- PreceptMe readiness confirmation.
- Confirmation of the clinical rotation start date.
8. Expedited fee
An expedited processing fee of $400 may apply when an application is submitted within thirty (30) days of the requested clinical rotation start date or when a requested clinical rotation start date, school documentation deadline, or placement timeline requires accelerated coordination and administrative support. The expedited processing fee supports prioritized review and placement coordination, when feasible. Payment of this fee does not guarantee preceptor availability, school approval, clinical site approval, state board approval, approval of a requested start date, regulatory or licensure outcomes, or completion of required clinical hours.
9. State-specific review
Certain placement requests may require additional review before the matching and placement process can proceed. California placements requested by students enrolled in non-California NP programs, as well as placements located in Central California, Northern California, or rural areas, may require an additional review process before payment processing and preceptor matching begin. PreceptMe does not determine, issue, or guarantee approval from the California Board of Registered Nursing (BRN), academic programs, clinical sites, or any regulatory authority. PreceptMe reserves the right to pause a placement request until all required reviews have been completed and the placement pathway has been confirmed.
10. No start before approval
Students may not begin clinical hours until all required placement conditions have been completed, including school and/or clinical site approval, applicable site onboarding requirements, final payment, and PreceptMe readiness confirmation. Clinical hours completed before required approvals and readiness confirmation may not be recognized by the school, clinical site, or PreceptMe and may impact eligibility for placement support or services under PreceptMe's policies.
11. Policy updates
PreceptMe may revise or update this Placement Policy from time to time. Unless otherwise provided in writing, the version of the Placement Policy available at the time of checkout or within the PreceptMe portal will govern the applicable placement request.
