Refund / Rematch Policy

1. Guaranteed Match or Full Refund
PreceptMe offers a Guaranteed Match or Full Refund in accordance with its published Refund / Rematch Policy. If PreceptMe is unable to secure an eligible clinical placement that meets the student's submitted requirements under this policy, the student may qualify for a rematch or, when applicable, a full refund. Eligibility is subject to this policy, including submission deadlines, student responsiveness, complete and accurate school requirements, and compliance with PreceptMe's placement process. All placements remain subject to school approval. PreceptMe does not guarantee school approval, clinical site approval, state board approval, California BRN approval, approval of a requested start date, regulatory outcomes, completion of clinical hours, graduation, or licensure.
2. Meaning of the guarantee
For purposes of this policy, an eligible match is a preceptor and clinical site that PreceptMe reasonably determines satisfies the written requirements provided by the student before matching, subject to school approval and all applicable placement requirements. If PreceptMe cannot secure an eligible match under this policy, the student may qualify for a rematch or refund review.
3. What is not guaranteed
The guaranteed match or full refund does not guarantee:
- School approval or clinical site approval.
- State board or California BRN approval.
- Approval of a requested start date.
- Regulatory or licensure outcomes.
- Completion of required clinical hours.
- Graduation.
- Continuous preceptor availability.
- Approval of requirements that were not disclosed before matching.
4. Student responsibilities
To remain eligible for rematch or refund consideration, the student must:
- Submit complete and accurate school requirements before matching begins.
- Respond to PreceptMe requests within required timeframes.
- Complete all required payments.
- Provide school approval or rejection documentation when requested.
- Notify PreceptMe immediately of any changes to school or program requirements.
- Begin clinical hours only after school approval, site approval (when applicable), onboarding completion, final payment, and PreceptMe's readiness confirmation.
- Follow PreceptMe's published placement policies and procedures.
5. Eligible review events
A student may be eligible for rematch or refund review if:
- PreceptMe cannot secure an eligible match under the published placement policy.
- A preceptor becomes unavailable before rotation starts.
- A proposed preceptor/site is rejected by the school based on written requirements the student provided before matching.
- PreceptMe determines that a qualifying placement issue falls within the published guaranteed terms.
6. School rejection review
If a school rejects a proposed placement, the student must provide written documentation showing, when available:
- Date of rejection.
- School representative or coordinator.
- Reason for rejection and the requirement that was not satisfied.
- Supporting documentation from the school.
If the rejection is based on requirements disclosed before matching, PreceptMe will review the request for rematch or refund eligibility. If the rejection results from incomplete, inaccurate, changed, late, or previously undisclosed requirements, PreceptMe may deny eligibility or require additional review.
7. Rematch support
When eligible, PreceptMe may provide rematch assistance under this policy. Any replacement placement remains subject to school approval, site approval, onboarding requirements, and PreceptMe readiness confirmation.
8. Refund review
Refund eligibility is determined on a case-by-case basis and may include consideration of:
- Stage of the placement process and work already completed.
- Timeliness and accuracy of submitted requirements.
- Student responsiveness.
- Whether a placement was secured.
- Whether any school rejection involved previously disclosed requirements.
- Applicable checkout terms and published policies.
9. Activation Deposit treatment
The $250 activation deposit is applied toward the total placement cost and is not an additional fee. Once PreceptMe confirms preliminary availability and placement work begins, the activation deposit is generally non-refundable except as required under this policy or applicable law. Refund eligibility may depend on the stage of the request, work completed, cancellation timing, checkout terms, and applicable refund provisions.
10. Circumstances not eligible
A student may not qualify for rematch or refund support if the student:
- Submitted incomplete, inaccurate, late, changed, or undisclosed requirements.
- Failed to respond within required deadlines.
- Failed to complete required payments.
- Changed specialty, dates, location, school, course, or required hours after matching began.
- Rejected a placement for reasons unrelated to previously disclosed requirements.
- Began clinical hours before receiving required approvals or PreceptMe readiness confirmation.
- Attempted to work directly with a preceptor outside PreceptMe, pay a preceptor directly, or coordinate outside the platform.
- Failed to provide required documentation (for example, school approval or rejection evidence).
- Experienced delays caused by third parties beyond PreceptMe's reasonable control.
11. Third-party costs
PreceptMe does not reimburse or refund fees charged by schools, hospitals, clinical sites, onboarding vendors, EMR providers, badge offices, background check providers, drug screening providers, health screening vendors, or any other third-party organization.
12. Expedited processing fee
An expedited processing fee is subject to the terms presented at checkout. The fee is a one-time charge for accelerated review and placement coordination and becomes non-refundable once expedited processing begins. Payment of the expedited processing fee does not guarantee placement availability, school approval, site approval, board approval, approval of a requested start date, regulatory outcomes, or completion of required clinical hours.
13. Card processing fee
The 3% card processing fee disclosed at checkout covers the cost of card acceptance and is non-refundable. Refunds of card payments are issued for the payment amount less the card processing fee. Payments made by bank transfer (ACH) carry no processing fee.
14. Requesting review
To request a rematch or refund review, the student must submit a Cancellation, Refund, or Rematch Review Request through the PreceptMe portal or another approved support channel. The request should include:
- Placement Request ID.
- Reason for the request and current stage of the placement process.
- Supporting documentation.
- School approval or rejection documentation, when applicable.
- Student statement and requested resolution.
PreceptMe generally acknowledges complete review requests within ten (10) business days, although complex matters may require additional review time.
15. Review decision
After reviewing the request, PreceptMe may:
- Approve a rematch or approve a refund.
- Issue a partial credit.
- Request additional information.
- Deny the request.
- Continue placement services.
All decisions are made in accordance with this policy and the applicable checkout terms.
16. Policy updates
PreceptMe may revise this Refund / Rematch Policy at any time. Unless otherwise stated in writing, the version presented during checkout or available in the student's portal at the time of the placement request governs that request.
